Changes and Refunds Policy

This document establishes the specific terms and conditions applicable to reservation management, date change requests (rescheduling), cancellations, and the consequent refund process for all tours and treks operated by Authentic Puriq Tours. This policy operates as an adhesion contract, which the client accepts at the moment of confirming their reservation and making the initial payment. Its purpose is to guarantee transparency and the fair application of operational charges, in strict compliance with the General Tourism Law and the Peruvian Consumer Protection Code.

1. Booking and Confirmation Process

The reservation of any service is considered formally confirmed once Authentic Puriq Tours has received the required deposit and issued the corresponding payment receipt.

  • Mandatory Requirement: All reservations are contingent upon the availability of official tickets (Machu Picchu, Inca Trail) and logistical spaces. Payment of the deposit is indispensable to initiate the issuance of said tickets, which are named and non-transferable.
  • Written Confirmation: The final confirmation of the reservation, including definitive dates and the detailed itinerary, will be notified to the client in writing (email) by an Authentic Puriq Tours advisor.

2. Date Change Policy (Rescheduling)

Any request for a change in dates or itinerary must be communicated in writing by the client to Authentic Puriq Tours. The viability of the change will depend on the terms of the final providers (government entities and transport companies).

  • Changes with Advance Notice (More than 30 Days): Requests received more than 30 days prior to the start of the tour will be subject to an administrative penalty of $50 USD per person, in addition to any non-recoverable charges for tickets already issued.
  • Last Minute Changes (Less than 30 Days): For requests received with less than 30 days’ notice, the change will be considered a partial or total cancellation and will be subject to the penalties established in the Cancellations section (point 3), as Machu Picchu tickets and train permits are usually non-modifiable within this timeframe.
  • Special Tours: High-demand treks (such as the Inca Trail) are subject to stricter rules. Date changes are generally prohibited or imply the total loss of the reservation deposit and the need to purchase new permits.

3. Cancellation and Penalty Policy

Cancellations must be notified in writing to Authentic Puriq Tours. The penalty applied is directly related to the advance notice of the cancellation regarding the service start date, reflecting operational expenses and non-recoverable costs incurred.

  • Cancellation with More than 60 Days: The initial deposit paid is retained (non-refundable) to cover administrative expenses and space reservation management. No additional penalty applies to the balance.
  • Cancellation between 30 and 59 Days: A penalty of 50% of the total tour cost applies. The client is eligible for a refund of the remaining amount exceeding this 50%.
  • Cancellation with Less than 30 Days: A penalty of 100% of the total tour cost applies, without right to refund, as the totality of services (tickets, trains, logistics) have already been settled or committed.

4. Refund Process and Deadlines

Refunds will be applied solely to the remaining amount after the deduction of penalties and non-recoverable expenses (entrance tickets, bank commissions).

  • Non-Refundable Tickets: The cost of Machu Picchu tickets, trekking permits, and some train tickets are non-recoverable expenses for Authentic Puriq Tours and will be deducted from the refund amount, regardless of the cancellation timeframe.
  • Processing Period: Refunds will be processed within a period of 30 to 45 calendar days from the date of formal acceptance of the cancellation. This period allows for the management of payment reversals with banks and financial gateways.
  • Refund Method: The amount will be refunded via the same payment method used for the reservation. Bank commissions and transfer fees incurred in the refund will be assumed by the client and deducted from the final amount.
